Privacy Notice

How we handle your information.

This notice explains what personal data Sasulos Imports & Logistics (“Sasulos”, “we”) collects when you ship goods with us between China and Ghana, why we collect it, who we share it with, and the choices you have.

1. What we collect

  • Customer contact data — your name, phone number, and email address where you give one.
  • Shipment details — descriptions of the goods you are shipping, quantities, condition notes, measured volume (CBM), actual weight, and cargo classification.
  • Tracking records — your tracking number, the status and location history of your shipment, and the container or flight it travels on.
  • Invoice and payment information — amounts invoiced, applied rates, adjustments, payments recorded against your invoice, payment method and reference, and the exchange rate used where you pay in Ghana cedis.
  • Delivery and collection preferences — the address, area or collection point you ask us to use in Ghana.
  • Website enquiry data — the information you send us when you contact us through the website, WhatsApp, phone or email.
  • Visa-assistance enquiry data — your travel purpose, intended travel date and the contact details you choose to provide when asking for China visa assistance. Passport and supporting-document handling is subject to a separate, confirmed submission route.

Our shipping calculator does not require any personal data, and the figures you enter into it are not stored against you.

The visa enquiry form asks only for a travel purpose and an optional intended date. Do not send passport images, bank statements or identification documents until a Sasulos adviser confirms the appropriate submission route.

2. Why we collect it

  • To receive, measure, consolidate and ship your goods.
  • To calculate your shipping charge and issue an accurate invoice.
  • To record payments and manage outstanding balances.
  • To keep you informed about the progress of your shipment.
  • To answer your questions and provide customer support.
  • To provide requested China visa document-check, checklist and appointment guidance.
  • To meet customs, tax, transport and other legal obligations in China, Ghana and any country your goods pass through.
  • To detect and prevent fraud and misuse of our services.
  • To keep internal operational records and audit trails of the decisions our staff make.

3. Who receives your information

  • Authorised Sasulos staff in China and Ghana.
  • Our warehouse partners and handling agents in China.
  • Shipping lines, airlines, freight forwarders and delivery partners carrying your goods.
  • Customs authorities, port authorities and other government bodies where the law requires it.
  • Banks and payment providers used to collect payment from you.
  • Technology providers who host and support the systems this website and our operations portal run on.

We do not sell your personal data, and we do not share it for third-party advertising.

4. Cross-border processing

Sasulos operates across two countries. Your goods are received and measured in China, and delivered or collected in Ghana. This means your personal data is handled in both China and Ghana, and is shared with carriers and authorities in the countries your shipment passes through.

Where data is transferred out of Ghana, we take reasonable steps to ensure it remains protected to a comparable standard. The specific safeguards Sasulos relies on are [FOR LEGAL REVIEW].

5. Public tracking

Anyone holding your tracking number can see the status, location, item summary, confirmed measurement, invoice status and balance for that shipment. The tracking page deliberately does not show your name, phone number, email address, delivery address, payment references, internal notes or any staff information.

Tracking numbers are randomly generated and cannot be guessed or counted through. Treat your tracking number as private and share it only with people you want to see your shipment status.

6. How long we keep it

We keep shipment, invoice and payment records for as long as we need them to run our service and to meet tax, customs and accounting obligations in Ghana and China. Proposed retention periods: [FOR SASULOS TO CONFIRM].

7. How we protect it

  • Our operations portal is accessible to authorised staff only, with individual accounts and role-based permissions.
  • Staff sign-in is handled by Firebase Authentication, passwords are never stored in plain text, and each staff account is limited to the permissions its role needs.
  • Consequential actions — rate changes, invoice decisions, payment entries, shipment and container updates — are recorded in an audit log showing who acted and when.
  • Repeated failed tracking lookups from the same connection are rate-limited.
  • Access to customer data is limited to staff who need it for their role.

8. Your rights

Subject to Ghanaian law, you may ask us to confirm what personal data we hold about you, to correct it if it is wrong, to provide a copy, or to delete it where we are not required to keep it. The precise rights and the timeframe for responding are [FOR LEGAL REVIEW].
